Configuring RentAlerts in the Admin Dashboard

Purpose of RentAlertsTM

The RentAlertsTM feature in the Any.Rentals platform is designed to provide automated notifications for rental-related events, ensuring timely communication between the business, its staff, and its customers. RentAlertsTM help reduce missed deadlines, improve operational efficiency, and enhance customer satisfaction through proactive notifications via email and text messaging.

This feature is accessible through the Admin Dashboard > Configuration > Rental Settings > RentAlertsTM section. The RentAlerts module is divided into several sub-sections, each tailored for specific notification scenarios and audiences.

Sections and Options Overview

1. General Settings

The General Settings section configures global settings for RentAlertsTM, such as the sender's number, text message formatting, and email redirection for replies.

  • Sender Number:

    • Displays the phone number used to send all text-based RentAlertsTM. This number is fixed and cannot be changed by the admin.
    • Purpose: To maintain a consistent sender ID for all text messages sent through the system.
  • Prepend All Text Messages:

    • Allows admins to add a custom prefix to every text message sent by the system.
    • Example: Adding a prefix like "[Your Rental Company]:" ensures that recipients can easily identify the sender.
    • Usage: Enter the desired prefix in the text box to prepend it to all messages.
  • Email to Receive Text Replies:

    • An optional setting to designate a different email address to receive replies from customers who respond to text messages.
    • Default: If left blank, replies are sent to the primary account email.
    • Usage: Enter an alternate email address if you want responses handled by a specific team or individual.

2. Admin RentAlertTM: Rental Starting

These settings notify administrators when a rental period is about to begin.

  • RentAlertTM Dispatch Overdue Notice:

    • Sends a notice if rental equipment is overdue for dispatch.
    • Purpose: Ensures timely dispatch of rental items.
    • Usage: Enable this setting to activate overdue notices.
  • Enable RentAlertTM Texts:

    • Sends a text message notification to admins when a rental is about to start.
    • Usage: Toggle to enable/disable text notifications.
  • Enable RentAlertTM Emails:

    • Sends an email notification to admins for rental start alerts.
    • Usage: Toggle to enable/disable email notifications.

3. Admin RentAlertTM: Rental Ending

These settings alert administrators about upcoming rental terminations.

  • RentAlertTM Advance Notice:

    • Specifies how many days in advance the admin should be notified of an upcoming rental end.
    • Usage: Enter the number of days for advance notification.
  • Enable RentAlertTM Texts:

    • Sends a text message to admins for end-of-rental notifications.
    • Usage: Toggle to enable/disable text alerts.
  • Enable RentAlertTM Emails:

    • Sends an email notification for rental end alerts.
    • Usage: Toggle to enable/disable email notifications.

4. Admin RentAlertTM: Rental Dispatch

This section focuses on notifications related to the dispatch of rental items.

  • RentAlertTM Advance Notice:

    • Specifies how many days in advance to notify admins about an upcoming dispatch.
    • Usage: Set the number of days for the notice.
  • RentAlertTM Repeat Alert:

    • Enables repeat notifications if the dispatch remains incomplete.
    • Usage: Toggle to enable repeat alerts.
  • Enable RentAlertTM Texts:

    • Sends text notifications for dispatch-related alerts.
    • Usage: Toggle to enable/disable text notifications.
  • Enable RentAlertTM Emails:

    • Sends email notifications for dispatch-related alerts.
    • Usage: Toggle to enable/disable email notifications.

5. Customer RentAlertTM: Rental Starting

These settings notify customers when their rental period is about to begin.

  • Enable RentAlertTM Texts:

    • Sends a text message to the customer regarding rental start.
    • Usage: Toggle to enable/disable text notifications.
  • Enable RentAlertTM Emails:

    • Sends an email to the customer for rental start notifications.
    • Usage: Toggle to enable/disable email notifications.
  • RentAlertTM Advance Notice:

    • Specifies how many days in advance the customer should be notified.
    • Usage: Set the number of days for advance notice.

6. Customer RentAlertTM: Rental Ending

These settings alert customers when their rental period is nearing its end.

  • Enable RentAlertTM Texts:

    • Sends a text message to the customer regarding the rental end.
    • Usage: Toggle to enable/disable text alerts.
  • Enable RentAlertTM Emails:

    • Sends an email to the customer for rental end notifications.
    • Usage: Toggle to enable/disable email notifications.
  • RentAlertTM Advance Notice:

    • Specifies how many days in advance the customer should be notified about the rental ending.
    • Usage: Set the number of days for advance notification.

7. Customer RentAlertTM: Notification Texts

This section allows customization of specific text notifications sent to customers.

  • Customer License Request Text:

    • Template text for messages requesting license-related documentation from customers.
    • Usage: Customize the text to include specific instructions or requirements.
  • Customer Signature Request Text:

    • Template text for messages requesting signatures from customers.
    • Usage: Customize the text to ensure clarity and professionalism.

How to Use RentAlertsTM Effectively

  1. Configure General Settings First: Set up the sender number, prepend text, and email preferences to ensure a unified communication style.
  2. Enable Admin Alerts as Needed: Activate relevant admin notifications for starting, ending, and dispatching rentals to stay on top of operational tasks.
  3. Set Up Customer Notifications: Ensure customers are informed about their rentals through text and email notifications. Adjust advance notice settings based on your business policies.
