Purpose:

The "Rental Orders" section in the Admin Dashboard is a centralized hub for managing all rental transactions. It allows administrators to view, track, and manage rental orders throughout their lifecycle—from initial booking to return and invoicing. This feature is designed to streamline rental operations, minimize errors, and ensure efficient customer service.


Key Features:

  • Comprehensive listing of all rental orders with status indicators.

  • Advanced search and filtering capabilities to locate specific orders quickly.

  • Tools to create, modify, and cancel rental orders.

  • Integration with inventory management to check availability and prevent overbooking.

  • Detailed order views, including customer information, rental items, and transaction history.

  • Bulk actions for efficient management of multiple orders.


How to Use the Rental Orders Section:

1. Navigating to Rental Orders:

  1. Log in to the Admin Dashboard.

  2. From the main menu, go to Rentals > Rental Orders.

  3. Ensure you have the necessary permissions to access this section.


2. Understanding the Rental Orders Interface:

  • Order List:

    • Displays all rental orders with key details such as:

      • Order number

      • Product(s)

      • Customer Email

      • Company Name

      • Customer Name

      • Dispatch Type & Status

      • Payment Type & Status

      • Order Total

      • Customer License

      • Company Rep

      • Event Group

  • Filters and Search:

    • Located at the top of the page, the filter bar allows you to narrow down the displayed orders by any combination of the above order details.

  • Action Buttons:

    • Buttons like Delete, Cancel, Hold are available for each order.

    • Bulk actions are accessible through checkboxes and the dropdown menu at the top of the list.


3. Managing Rental Orders:

Viewing an Order:

  1. Click any order row to view the order details.

  2. Review the detailed information, including:

    • Customer and contact details

    • Rental items and quantities

    • Rental period

    • Payment and billing details

    • Order history and notes

Creating a New Rental Order:

  1. Click the Create New Order button at the top right.

  2. Enter the customer information and select the desired rental items.

  3. Specify the rental start and end dates.

  4. Add any additional notes or instructions.

  5. Save the order to confirm the booking.

Editing an Existing Order:

  1. Locate the order using the search or filter options.

  2. Click the order row and open the order.

  3. Modify the required details, such as:

    • Rental dates

    • Items and quantities

    • Customer information

  4. Save the changes to update the order.

Cancelling an Order:

  1. Select the order and click the Cancel button.

  2. Confirm the cancellation in the pop-up dialog.

Using Bulk Actions:

  1. Select multiple orders using the checkboxes.

  2. Choose an action (e.g., Export, Change Status) from the dropdown menu.

  3. Execute the action to apply it to all selected orders.


4. Understanding Order Statuses:

Dispatch Status
  • Cancelled: The order has been cancelled and is no longer active.

  • Closed: The order has been closed.

  • Complete: The order has been completed.

  • Dispatched: The order item(s) have been dispatched to customer.

  • Partial Dispatch: The order item(s) have been partially dispatched to customer.

  • Pending: The order has been created but not yet confirmed.

  • Returned: The rental items have been returned by the customer and are back in inventory.


5. Best Practices:

  • Use filters to prioritize orders based on their start or end dates.

  • Maintain accurate customer and inventory data to ensure smooth operations.

  • Document order changes and customer interactions using the order comments feature.


Common Use Cases:

  • Tracking all active and upcoming rental orders to ensure readiness.

  • Modifying an order to accommodate a customer’s request for an extension.

  • Identifying overdue orders and contacting customers for returns.

  • Generating reports on rental orders for performance analysis.
