Configuring Order Related Emails

Purpose of Order Related Emails

The Order Related Emails settings in the Any.Rentals platform allow businesses to configure email notifications for key order events, ensuring effective communication with customers and internal stakeholders. These emails include order confirmations, comments, invoices, dispatch updates, credit memos, and payment failures.

This feature is accessible via Admin Dashboard > Configuration > Sales & Rentals > Order Related Emails.

Settings and Options Overview

1. Order

• Enabled:

  • Purpose: Activates order confirmation email notifications.
  • Effect: Sends an email to customers upon successful order placement.

• New Order Confirmation Email Sender:

  • Purpose: Configures the sender email address for order confirmations.
  • Effect: Ensures professional communication by using a business-branded email.

• Send Order Email Copy To:

  • Purpose: Specifies additional recipients for order confirmation emails.

• Send Order Email Copy Method:

  • Purpose: Defines whether email copies are sent as separate emails (BCC) or attached to the main email.

• Default Top Section Message:

  • Purpose: Adds a custom message to the top of the order confirmation email.
  • Effect: Provides space for personalized or promotional content.

• Default Bottom Section Message:

  • Purpose: Adds a message to the bottom of the order confirmation email.
  • Effect: Commonly used for disclaimers, thank-you notes, or additional contact information.

2. Order Comments

• Enabled:

  • Purpose: Activates email notifications for order comments.
  • Effect: Keeps customers updated on order-related communications.

• Order Comment Email Sender:

  • Purpose: Sets the sender email address for comment notifications.

• Send Order Comment Email Copy To:

  • Purpose: Specifies recipients for comment email copies.

• Send Order Comments Email Copy Method:

  • Purpose: Configures how comment email copies are sent (BCC or attached).

3. Invoice

• Enabled:

  • Purpose: Activates email notifications for invoices.

• Invoice Email Sender:

  • Purpose: Configures the sender email address for invoice emails.

• Send Invoice Email Copy To:

  • Purpose: Defines additional recipients for invoice emails.

• Send Invoice Email Copy Method:

  • Purpose: Specifies whether email copies are sent as separate emails (BCC) or attached.

4. Invoice Comments

• Enabled:

  • Purpose: Activates email notifications for comments on invoices.

• Invoice Comment Email Sender:

  • Purpose: Sets the sender email address for comment notifications.

• Send Invoice Comment Email Copy To:

  • Purpose: Defines additional recipients for comment notifications.

• Send Invoice Comments Email Copy Method:

  • Purpose: Configures how comment email copies are sent.

5. Dispatch

• Enabled:

  • Purpose: Activates dispatch email notifications.
  • Effect: Notifies customers when their order is dispatched.

• Dispatch Email Sender:

  • Purpose: Configures the sender email address for dispatch notifications.

• Send Dispatch Email Copy To:

  • Purpose: Adds additional recipients for dispatch emails.

• Send Dispatch Email Copy Method:

  • Purpose: Defines how dispatch email copies are sent (BCC or attached).

6. Dispatch Comments

• Enabled:

  • Purpose: Activates email notifications for comments on dispatches.

• Dispatch Comment Email Sender:

  • Purpose: Configures the sender email address for dispatch comment notifications.

• Send Dispatch Comment Email Copy To:

  • Purpose: Specifies additional recipients for dispatch comment notifications.

• Send Dispatch Comments Email Copy Method:

  • Purpose: Defines how comment email copies are sent.

7. Credit Memo

• Enabled:

  • Purpose: Activates email notifications for credit memos.

• Credit Memo Email Sender:

  • Purpose: Sets the sender email address for credit memo emails.

• Send Credit Memo Email Copy Method:

8. Credit Memo Comments
