Purpose: The "Availability Calendar" feature within the Rental Calendar is a crucial tool for rental management. Its primary purpose is to help users quickly and accurately determine the availability of rental items across specified dates. This feature is invaluable for preventing overbooking, optimizing inventory usage, and planning maintenance schedules without disrupting rental operations.

How to Use the Availability Calendar:

1. Navigating to the Availability Calendar:

  • Log in to the Admin Dashboard.

  • Go to Rentals > Rental Calendar in the main menu.

  • Click on the Availability Calendar tab located at the top of the Rental Calendar interface.

2. Understanding the Layout:

The Availability Calendar is designed for ease of use, with a focus on providing detailed insights into inventory availability:

  • Date Grid: Displays the selected date range.

  • Item Listings: Items are listed along with their availability status for the chosen dates.

  • Color Coding:

    • Green: This date is available as the starting date for the selected rental period. To book an item, simply click on any green date.

    • Orange: Item is partially available (limited time frame).

    • Black/Gray: Item is fully booked or unavailable.

3. Checking Availability:

  1. Select the Category or Specific Item you wish to check.

  2. Enter the desired Date Range using the calendar picker.

  3. View the availability status for the selected items:

    • The calendar will display availability in the corresponding color code.

4. Booking Directly from the Availability Calendar:

If the desired item and quantity are available:

  1. Click on the available date (highlighted in green).

  2. The system will prompt you to initiate a New Rental Order.

  3. Complete the rental order form with customer details, rental duration, and any additional services or items.

  4. Confirm and save the order to finalize the booking.

5. Filtering and Sorting Options:

To streamline your search for available items:

  • Filter by Category: Narrow down items by selecting a specific category (e.g., Equipment, Vehicles, Furniture).

  • Search Specific Items: Use the search bar to locate a particular rental item.

  • Quantity Selection: Specify the required quantity to check if the desired number of items is available.

6. Planning Maintenance:

  • Use the Availability Calendar to identify free periods for scheduling maintenance or service orders.

  • Block off dates to ensure items are not booked during maintenance.


Best Practices:

  • Regularly review availability to plan for high-demand periods.

  • Use the filters to quickly find items matching customer requests.

  • Update inventory statuses in real-time to reflect accurate availability.

  • Communicate proactively with customers if availability conflicts arise.

  • Checking availability for a specific rental period before creating a booking.

  • Planning maintenance schedules without impacting active rentals.

  • Identifying overbooked or underutilized inventory.
